Requirements for Rectifying Birth Certificate Details in Kenya

Kenyans who discover errors in their birth certificates can apply to have the information corrected through the relevant civil registration offices or the eCitizen platform.

The correction process covers details such as names, dates of birth and information relating to parents. Such errors can occur during the initial registration of a birth, including differences between information appearing on a birth certificate and a national identification document.

For minor mistakes, applicants can begin the process at a Huduma Centre. They are generally required to carry the original birth certificate together with a valid identification document for the applicant or parent.

An applicant may also use the eCitizen platform to request an amendment. The application requires the person to indicate the information that needs to be changed and provide supporting documents where necessary.

Additional evidence may include statutory declarations or letters from local administration officials confirming the applicant’s identity and the information being corrected.

The applicable fee is listed as around KSh1,000 in the guidance, although applicants should confirm the current amount before making payment. Once the application is processed, the amended birth certificate can be issued.

More significant changes follow a different procedure, particularly where an adult or child is legally changing their name after the early registration period.

In such cases, the applicant may need to prepare a Deed Poll with the assistance of a lawyer. The document is then registered with the Registrar of Documents after payment of the required registration fee.

The name change is subsequently published in the Kenya Gazette. After the legal process is completed, the applicant can approach the Registrar of Births to have the new name reflected on a reissued birth certificate.

Adults who never obtained birth certificates can also apply for registration by providing documents that help establish their identity and date of birth.

These may include a national identity card, parents’ identification documents or birth certificates, a school leaving certificate and a baptismal card where applicable.

Where a parent’s identification document is unavailable, an identification report from the National Registration Bureau may be required.

Applications and related services can be accessed through eCitizen, Huduma Centres and Civil Registration offices. Those applying online are required to upload the relevant documents, make the required payment and select a suitable collection point.

Applicants should carefully check all information before submitting their applications to avoid further errors and delays in receiving the corrected document.
